Project Activity List Template

A project is based on a number of activities that needs to be performed in sequence and a project is also related to numerous departments in which a number of different skilled and qualified employees are involved. Among those employees one is known as the project manager who has some special managerial skills to organize and lead the project successfully.

For the success of a project, it is important for the project manager to design a project activity list in order to bring a flow and sequence in the project to ensure success and to get the expected end results. A project activity list is a document that contains a detail of different activities in a proper sequence, deliverable, outcomes and time frame. The project activity list will tell you the starting, ending and the middle point of the project and make the project manager able to understand the required time and budget for the project.

The main goal of the project


Each project has some specific goals to achieve and therefore before going to divide the project into different activities, the project manager must understand and define the main goal of the project. The main goal of the project will be written above the list of activities on the sheet or document. The understanding of the goal will help you with classification of the activities on the basis of its importance.

Identify activities


Once you understand and define the main objective of the project then it is the time to determine different activities of the project. An activity is basically a group of tasks therefore try to identify activities in an order. For example if the project is to increase sales of a product, in the identification of the activities, a project manager should write the basic and important activities first followed by the less important or secondary nature activities.

Estimate proper time frame


A project has a pre-determined time frame like two months, six months etc. By considering the overall time of the project, assign a proper time for each activity, say 24 hours, 3 days, one week, etc. The most important thing in scheduling of activities is flexibility. Flexibility means, try to keep some extra time with you for each activity as if due to some reasons your employee don’t meet the deadline you can give them some extra time to complete the work. This will make your employees comfortable while working.

Assign tasks to employees


As an activity is a group of different tasks, then it is the time to assign tasks to different employees. For example the project is “to increase the sales of the product” the activity is “marketing”, then the tasks will be advertised through sign boards, electronic media, newspaper etc for which you need a number of effective ideas and actions.

Save and publish


Finally, save a copy of the project activity on your PC and take a couple of printouts. Distribute a hard copy of the project activity list to each member of the project team. This will bring a sense of responsibility in your team and will save your time by personally communicating them related to different activities and tasks.
